Position Summary

The Parts Shipping and Receiving Clerk is responsible for efficiently managing the shipping and receiving of all parts and accessories. This includes verifying and documenting shipments, organizing inventory, and coordinating with both the parts and service departments to ensure parts are readily available and accounted for. This role plays a key part in maintaining accurate stock levels and supporting efficient dealership operations.

Key Responsibilities

Receiving Duties

  • Inspect Incoming Shipments: Verify the quantity and quality of incoming parts and ensure accuracy against shipping documents, noting any discrepancies.
  • Documentation & Data Entry: Accurately input parts and shipment details into the dealership management system (DMS) and maintain all associated paperwork for inventory records.
  • Inventory Organization: Properly label, tag, and store parts in designated inventory areas, following dealership standards for storage and organization.
  • Quality Control: Inspect parts for damage and return items as necessary, following established procedures.

Shipping Duties

  • Prepare Outgoing Shipments: Package parts securely for shipment, ensuring compliance with dealership and carrier standards.
  • Documentation: Complete and verify shipping documentation, including packing slips, labels, and shipping manifests.
  • Coordinate with Carriers: Schedule pickups and manage communication with shipping carriers, ensuring timely and cost-effective deliveries.

Inventory & Stock Management

  • Cycle Counts: Perform routine cycle counts and assist with regular physical inventory audits to ensure accurate stock levels.
  • Restocking & Reordering: Notify Parts Manager of low stock items and assist in reordering essential parts and supplies.
  • Parts Delivery Coordination: Work closely with the parts and service departments to ensure parts are readily available for service work orders.

Administrative Support

  • Customer Assistance: Provide courteous support to customers and technicians in locating and retrieving parts.
  • Communication with Vendors: Coordinate with vendors for returns, exchanges, and warranty parts processing as needed.
  • Maintain a Clean Work Area: Keep the parts department organized, clean, and in compliance with safety standards.

Qualifications

Education & Experience:

  • High school diploma or equivalent required.
  • Prior experience in shipping, receiving, or warehousing preferred.
  • Familiarity with automotive parts and dealership operations is an advantage.

Skills & Competencies:

Strong organizational skills and attention to detail.

  • Proficiency in basic computer applications and data entry. o Ability to communicate effectively with team members and vendors.
  • Problem-solving skills and the ability to work independently.

Physical Requirements:

  • Ability to lift up to 50 lbs and perform repetitive lifting, bending, and standing.
  • Capacity to work in a warehouse environment and operate machinery as required (e.g., forklifts or pallet jacks).
